Sending Client Documents to DTA Boston Web SNAP Unit – Secure Email Option

Follwing recent discussions with the Boston Centralized Web Unit about ways to improve SNAP application processing, agencies that serve clients in theBoston Web Unit catchment areas have the opportunity to set up secure email delivery accounts for potentially more effective transmittal of client verifications. While this process does carry some overhead in terms of setting up the email accounts, there are good reasons to consider going through the process: 1) It will be easier for the DTA Boston Web Unit to track the documents internally and reduce the paper from mail or printing out faxes because SNAP workers can view these documents electronically. 2) It will enable them to respond to you by email on individual cases and cut down on some of the back and forth phone calls.  

If you are taking Web Applications from clients who reside in areas served by the Boston Web Unit, consider using the following email to send scanned documents:  CentralProcessing@MassMail.State.MA.US

NOTE: The above email account is currently ONLY being used currently by the Boston Web Unit. If you are filing web applications for clients in other areas of the state, DO NOT USE this email account for now.  

Which parts of the state are covered by the Boston Web SNAP Unit?

The Boston Web Unit currently handles cases from clients whose zip codes/communities are covered by the following DTA offices:

* 1010 Mass Ave, Boston
* Dudley Square, Boston
* North Shore (Salem)
* Brockton
* Revere, and
* Malden. 

The Boston Web Unit processes the initial SNAP application and then – if approved – ships the SNAP case to the local office for ongoing case-handling and re-certifications. If you send emails to CentralProcessing@MassMail.State.MA.US , the subject line should read as follows:

Client first name, Client last name, Date of SNAP Application

i.e.  John Smith Application of 9-30 - 11

You can use this email to send scanned documents.  However – and this is important – you  WILL NOT get any response back from the DTA Web Unit on any case unless you establish an account with the “Secure Field and E-Mail Delivery” (SFED) application. Once your organization has an SFED account (see below), communication through the secure email address will flow both ways.

What is SFED and  should you use the secure email process for SNAP applicant documents?  SFED is the Secure File and Email Delivery system. The DTA Boston Web Unit tells us that this secure email option is more efficient for them, better in tracking documents, and may avoid some of the lags that occur in pulling down and printing out faxed information. Setting up an account also lets your organization receive email communications back from the DTA Boston Web Unit on specific client cases.

To gain two-way communication access through this secure email system, send an email directly to:  David D. Sullivan at DTA:  david.d.sullivan@state.ma.us) David will pass your name and email onto the SFED unit who will then get SFED to send you back an email with specific instructions and web links to set up an account.

Do you really need to use the SFED email process? NO. You can continue to fax documents to the Boston Web Unit at the following fax number:  617-889-7842. And, of course, you or your clients can always snail mail documents to the Boston Web Unit at 600 Washington Street, Boston, MA, 02111 – none of that has changed. Remember - these are more paper cumbersome procedures for DTA to handle.
